In addition to designating which users are “administrators” and which are “standard users,” multi-user account administrators can also set editing privileges for account JSAs. Select whether “worksheets can be modified by”:

All users,
Only the creator and administrators,
or
Only the creator.

To access this control, visit your Admin page and select “Organizational Settings” from the blue menu bar at the left. Scroll to the bottom of the page to “JSA Access Options” and make your selection!

As always, even with the strictest setting selected (“only the creator”), users can still view each others’ JSAs, create copies, and modify any copies they personally create.

JSAB TIP – Nomenclature, customization, and logos

Love JSABuilder, but don’t like our nomenclature? Here’s a quick review of the “JSABuilder Naming Convention” tool. Account Administrators: login, open your Admin page, select “Organizational Settings” from the blue menu bar on the left. Scroll down the page to “JSA Naming Convention.” You can’t customize the fields you see in the JSABuilder program, but you can customize the way they print out on your JSA/AHA document!

Here are the section titles you can change to fit your organization’s own nomenclature (JSA vs. JHA, etc.) – or completely repurpose for a different type of information (for example, get rid of “JSA No.” and make way for “client” instead):

Spell check

One of the most common requests we receive is for a JSABuilder “spell check” tool. While this is not something we currently offer, you may find it useful to use the Mozilla Firefox web browser to perform your spell checks. Firefox (generally) automatically performs a spell check of entries you make in any program you have open in Firefox, and is available as a free download. JSABuilder cannot and does not explicitly endorse Firefox or other programs; however, we feel our users may find this information useful as they develop their JSAs.

Replacing a User

With the start of the new year, some of the multi-user accounts may be going through personnel changes as people move throughout the organization. A couple tips for account Administrators on changing out user IDs in JSABuilder:

• Delete the old user, rather than simply using “edit” to change his or her name and login. Using “edit” to change users will replace the old user’s name with the new user, and show all JSAs created by the original user as being created by the new user. By clicking the “delete” link next to the user name in your Admin console, the user is instead deactivated. All JSAs created by that user will remain in the account (the JSAs are not deleted!), and will continue to be listed as being created by him (her).

JSAB tip – use of new features

The past few months, we have seen the roll out of some great new features by our JSABuilder programmers!

• JSA Access options (editing privileges) – Administrators can now control which users on the account have access to modify JSAs/AHAs: JSA creator only, creator and Admin, or everyone on the account (default). (Admin – Organizational Settings – JSA Access Options)
• Updates to the “deleted JSAs” folder – formerly any JSA/AHA deleted by a non-Admin user was sent to the Admin “deleted JSAs” folder for review (from whence it could be restored to the console, or permanently deleted); now ALL deleted JSAs – including those deleted by an Admin – are moved to the “deleted JSAs” folder fro review. (Admin – Deleted JSAs)
• Colored coded AHA matrix – by popular request, our programmers rolled out a color coded AHA matrix for the AHA format! In addition to a color coded matrix at the top of the finalized AHA, each job step’s risk ranking is also color coded.
• Logo page – JSABuilder is pleased to introduce our client logo page! Intended both to help credentialize JSABuilder with new prospective clients, and honor our current clients for their commitments to safety.

Review and Approve JSAs . . . electronically

Did you know that JSABuilder facilitates electronic review and approval of your JSAs for multi-user accounts? We slipped this feature in over the past couple months, and have just recently updated it! If you have a single user account, or simply do not wish to use this feature, don’t do anything – it will remain in the default “off” setting. However, if you are an account administrator on a multi-user account (2+ users) and you would like to turn it on, here is how!

1) In your “Admin” tab, select “Organizational Settings” from the blue menu bar on the left.

2) Scroll down to the bottom where “Approval Process” is listed. Simply select “yes” if you would like to turn this feature on. (NOTE – it may take several minutes for your account to switch over.)

Customize & Organize

Did you know you can customize your JSA or AHA form to fit your company? Beyond adding hazards and controls or altering probability and severity, here are a few other things account administrators can do:

Change JSABuilder terms/nomenclature to match your own (for example, instead of “department/division/section” call it “branch” or “office”). Changes will show up on your printed JSA (but not in the actual JSABuilder program). There are 11 field names you can change – see your Admin page: Organizational Settings: JSA Naming Convention.

Select your company’s default print style as “portrait” or “landscape,” and whether or not to “display” your logo. Admin page: Organizational Settings: Default JSA layout.

Create a complimentary JSABuilder login page for your company, complete with your logo, your safety message and your own URL. Admin page: Organizational Settings: Organization Home Page.

Provide a drop-down list of departments for your company, from which your users can select during JSA creation. Admin page: Departments.

Display your name and contact information in the “help” tab for your users.

AHA vs. JSA

JSABuilder offers two analysis worksheet formats – the JSA and the AHA. What does this mean and how can you access it? While JSA, JHA, AHA and many other acronyms stand for the same basic idea – an analysis of hazards on the job and procedures to eliminate or mitigate those hazards – there are sometimes differences in the way they present the information and even the type of information presented. JSABuilder’s Activity Hazard Analysis (AHA) format specifically meets U.S. Army Corps of Engineers (USACE) standards, as described in EM 385-1-1. It includes a section for listing equipment, equipment inspection and training, as well as a risk assessment code (RAC) for each of the job steps listed in the “recommended safe job procedures” in “Section 8 – Job Description,” and an overall RAC rating for the entire AHA. You will also see a few differences in the hazard, consequence and control sections, as USACE AHA format asks you to combine that information into the step-by-step “recommended safe job procedures” rather than presenting it in different sections.

Editing the StepBuilder

So there you are, diligently filling out your Step Builder and you realize that you skipped a step in the process! What’s a safe person to do? Skip it and hope no one notices? No! Edit all your previous steps until you get the process correct? No! Delete the steps you’ve created until the step you missed, create it, and then recreate all your work? Definitely not! Just add the missing step as a brand new step when you think of it, and use the green arrows on the right to move it up to the proper position. It’s just that easy! Happy editing!
